Terms & Conditions — Arfint Odoo Solutions & Mini ERP

1. Acceptance of Terms

These Terms govern access to Arfint’s website, Odoo implementation and support services, and the Arfint Mini ERP mobile application (“Mini ERP”). By accessing or using a service, you agree to these Terms and any applicable order, proposal or organization policy.

If you do not agree, do not use the relevant service and contact your organization administrator or Arfint.

2. About Arfint Services

Arfint provides Odoo consulting, configuration, customization, integration, support and mobile business solutions. Mini ERP connects authorized users to an organization’s compatible Odoo ERP environment.

Available features depend on the Odoo version, installed Arfint components, organization configuration, device compatibility, network access and user permissions.

3. User Accounts

Accounts may be created or administered by Arfint, the customer organization or its authorized administrator. Users are responsible for protecting credentials and devices. Users agree to:

  • Provide accurate account and organization information
  • Use Odoo and Mini ERP only for authorized business purposes
  • Follow organization access, security and device policies
  • Promptly report unauthorized access, suspected misuse or compromised credentials

4. Odoo ERP Integration

Mini ERP and Arfint integrations are designed to connect with Odoo ERP environments selected or managed by the customer organization. Features, performance and compatibility may vary depending on:

  • Customer configuration and business rules
  • Odoo version
  • Installed Odoo and Arfint modules
  • User roles, permissions and third-party integrations

5. Attendance and Face Verification Features

When enabled by the organization, Mini ERP may use:

  • Device camera access and face verification
  • GPS and multi-location validation
  • Liveness detection and anti-spoofing protection
  • NFC checkpoint verification for security patrol features

Where supported, face verification is performed locally on the user’s device. Certain attendance, kiosk and security-patrol features may operate offline and synchronize with the connected Odoo ERP server when connectivity returns.

These features are intended for authorized attendance, workforce, security and organizational workflows. Users must not bypass or manipulate attendance, patrol, location, liveness, anti-spoofing or NFC checkpoint mechanisms through photos, videos, recordings, fake GPS locations, cloned NFC tags or other fraudulent methods.

6. Voice and Video Communication Features

When enabled, Mini ERP may provide internal communication features including:

  • Voice calls
  • Video calls
  • Internal discussion channels

These features may be used only for legitimate, authorized organizational communication. Users are responsible for complying with applicable laws and organizational policies regarding audio and video communications.

Users must not use communication features for:

  • Unauthorized recording
  • Harassment or illegal surveillance
  • Fraudulent activities
  • Sharing prohibited content

Camera and microphone access is intended only for communication sessions initiated by the user or authorized organization workflows.

7. Permitted Use

Users may use Arfint services only for lawful, authorized business purposes and within permissions granted by their organization. Users must not:

  • Access, export or alter ERP data without authorization
  • Reverse engineer, copy or circumvent protected parts of Mini ERP except where law expressly permits
  • Disrupt, overload, damage or interfere with the services
  • Submit fraudulent attendance, location, NFC or biometric information
  • Share accounts or credentials with unauthorized persons

8. Data Privacy

Use of the website, Odoo services and Mini ERP is also governed by the Arfint Privacy Policy.

For organization-managed accounts, the customer organization normally controls the purpose, access and retention of its Odoo business records, while Arfint may process data to provide agreed services.

9. Availability and Service

Unless a separate written agreement states otherwise, the services are provided on an “as available” basis. Arfint does not guarantee uninterrupted or error-free operation where availability depends on customer infrastructure, third-party services, connectivity or device compatibility. Availability may depend on:

  • Internet connection
  • Device compatibility
  • Server availability
  • Customer Odoo infrastructure and configuration

10. Intellectual Property

Arfint retains rights in its original software, designs, documentation and branding. Odoo and third-party components remain subject to their respective owners and licenses. Customer business data remains owned or controlled by the customer, subject to applicable agreements.

Users may not copy, distribute, modify, resell or reproduce protected Arfint materials without authorization, except as permitted by an applicable license or law.

11. Limitation of Liability

To the maximum extent permitted by applicable law and subject to any separate written agreement, Arfint is not liable for:

  • Data loss
  • Service interruption
  • Unauthorized access
  • Device issues
  • Indirect or consequential damages

Customer organizations remain responsible for their Odoo infrastructure, user permissions, data quality, backups, business decisions and operational policies unless an agreement assigns a responsibility to Arfint.

12. Changes to Terms

Arfint may update these Terms to reflect changes in services, technology, contracts or applicable requirements.

The revised Terms become effective when published on this page with an updated date, unless another notice or agreement states otherwise.

13. Termination

Arfint or the customer organization may suspend or terminate access for security, non-payment, breach of these Terms, legal requirements or organization policy. Account deletion requests are handled separately through Arfint Account Deletion.

14. Governing Law

These Terms are governed by the laws of the Republic of Indonesia, unless a separate written agreement specifies otherwise. Users must also follow applicable laws, regulations and organization policies.
